Four layers. One operating picture for the family’s affairs.

A practical information architecture for people, structures, assets, professional relationships, and the decisions that connect them.

LAYER A

vFO

The operating picture

Entity, trust & asset map

Map the relationships between entities, trusts, properties, operating companies, investments, and important obligations around the family’s actual records.

Secure working library

Keep structural records, key decisions, and approved documents organized with encrypted storage and secure backups.

Professional access rooms

Create restricted, read-only workspaces for CPAs, tax professionals, estate lawyers, wealth advisors, and other trusted professionals.

LAYER B

Information Architecture

From scattered to usable

Structure the information that matters

Turn legacy folders, multi-source updates, and complex ownership records into a clear, reviewable system.

The family intelligence brief

A personal brief that surfaces updates from operating companies, private projects, properties, and family priorities—capped at 10 so noise stays out.

LAYER C

Trusted Circle Coordination

The right people, aligned

Professional coordination

Give the right professional a clean, current starting point without giving them access to everything.

Decisions and follow-through

Keep important questions, next steps, owners, and source records connected so work does not disappear between conversations.

LAYER D

Protection & Governance

Simple boundaries, visible trust

Access boundaries

Each person sees only what their role requires, with human review wherever access or action should be approved.

A record of what changed

Keep key updates, approvals, and source documents connected so the family and its professionals can understand the current state.

One command center. The right professionals, coordinated.

Optional professional services can be connected around the family’s priorities while keeping responsibilities and access clear.

01

CPA · accounting · audit

Organized financial records, reporting support, and a cleaner starting point for professional review.

02

Tax

Coordination around deadlines, structural questions, and the information your tax professionals need.

03

Insurance

A current view of policies, renewals, properties, and the people responsible for follow-through.

04

Wealth advisors

A shared operating picture for the professionals helping protect and grow family assets.

05

121 Club benefits

Optional access to relevant member benefits and trusted services when they fit the family’s priorities.

06

Capital & deal coordination

Smarter Mergers support when a major acquisition, development, financing, or sale needs strategic coordination.

Professional services are provided by independent partners. Availability, scope, and fees are confirmed separately before work begins.

A clear scope, a clear fee—no AUM percentage.

The initial architecture is a project fee because the work is defined by the family’s structure, not by the value of its assets. Ongoing support covers maintenance, intelligence, and coordination.

Phase 1

Architecture & build

$25,000 one-time project fee

A defined project fee for mapping the family’s structure, configuring the command center, and agreeing the information and access model.

  • Entity, trust, asset, and relationship mapping
  • Command Center configuration around the agreed structure
  • Secure working library and access model
  • Initial intelligence brief and review workflow

Phase 2 · Ongoing

Operating hub

$3,500 / month

Ongoing maintenance, intelligence, and coordination after the initial build. The pace and support model are agreed around the scope.

  • Curated family intelligence brief with no more than 10 items
  • Database maintenance and approved document organization
  • Trusted-circle coordination and follow-through
  • Core workspace, backup, and connector costs included as scoped
Why a project fee?The first phase includes architecture, mapping, configuration, and review around an agreed scope. It is not an asset-management fee and does not rise with the value of the family’s assets.
What stays separate?Independent CPA, tax, legal, insurance, wealth-advisory, and other third-party professional fees are scoped and billed directly or separately as agreed.

Clear boundaries for high-trust information.

The protection model is simple to understand: encrypt the information, back it up securely, limit access by role, and keep professional coordination visible.

PRIORITY 1

Access or security concern

Immediate review

A focused review of the affected information, access boundary, and next safe action.

Unexpected access · Sensitive record · Urgent change
PRIORITY 2

Important decision or milestone

Prioritized review

Bring the right information and people together around a transaction, deadline, or family decision.

M&A closing · Financing · Structural decision
PRIORITY 3

Routine system update

Planned review

Fold the update into the operating hub and the next intelligence brief without adding noise.

New account · Archive request · Workflow change
01Encrypted information

Sensitive information is protected in transit and at rest within the agreed environment.

02Secure backups

Important records have a defined backup and recovery approach, agreed during setup.

03Access boundaries

Role-based, least-privilege access keeps each professional’s view appropriately narrow.

04Professional coordination

People, responsibilities, approvals, and source records stay connected and visible.

Built around your structure, at the pace the scope requires.

01

Map the structure

Review the entities, trusts, assets, people, priorities, and source records that belong in the operating picture.

02

Design access & workflows

Agree what belongs in the Command Center, who can see what, and where human approval sits.

03

Launch and refine

Configure the system, test it with approved information, and refine the brief and workflows as the family uses them.

See what a calmer family operating picture looks like.

We’ll walk through the Command Center, the engagement structure, and what a first scope could include.
